In brief

Hospitality events for BAU Munich 2027 are formats that exhibitors host around their trade fair presence: receptions, client dinners, Bavarian evenings and VIP events for 100 to 3,000 guests. BAU takes place from 11 to 15 January 2027 at Messe München-Riem. Plan & Tat Events plans concept, venues, catering and event logistics beyond the exhibition floor, all from a single hand.

The situation

BAU is where you exhibit.
What people remember happens around it.

BAU Munich is every two years the world-leading trade fair for architecture, building materials and systems. With 235,000-plus visitors from over 150 countries and around 200,000 square metres of exhibition space, it is one of the mega-events of the city. Every significant architecture practice, every relevant materials manufacturer and every planning department is represented.

What most exhibitors underestimate: the hall is only half the stage. The real business happens at evening events after the fair closes, at client dinners in the city centre and at receptions during the fair week. Anyone without their own format here disappears into the crowd.

Plan & Tat Events plans hospitality formats around BAU, from the compact reception to a multi-day client programme. We know the venues between Messe Riem and the city centre, the caterers with experience of large trade fairs and the logistics partners who think of hotels, transfers and hosting as one package.

Four formats

Which format
fits your fair presence?

01

Bavarian Evening

The crowd favourite, especially for international guests. Beer barrel tapping, brass band, pretzels, traditional attire and all the classics people love, hosted in an atmospheric venue away from the exhibition halls. We take care of the venue, programme, catering, staffing and technology.

100 to 2,500 guests · evening · off-site venue

02

Reception

The shared evening during the trade fair week. For partners, invited guests and key clients. A setting that carries the message of your trade show presence and creates room for conversation and networking.

100 to 3,000 guests · evenings during the fair

03

Client Dinner & VIP Events

Discreet, personal and exclusive. For board members, key clients and international top-tier guests: hand-picked restaurants and boutique venues, multi-course menus, curated seating, chauffeured transfers and, on request, themed staging. For deepening the most important relationships.

Exclusive circle · premium venues · themed staging

04

Product Reveal

When the trade fair is the stage for a new launch. Staging in an unusual venue, an exclusive reveal evening for invited guests, thought through in several waves up to the main appearance.

150 to 2,500 guests · special venues · media-effective

Event logistics BAU

What to plan around BAU.

During BAU, Munich is under pressure. Hotels sold out, caterers stretched, logistics tightly scheduled. Six levers where Plan & Tat Events makes the difference.

Hotel allocations

During BAU, the central hotels are booked months in advance. Plan & Tat reserves allocations in 4- and 5-star houses in Bogenhausen, Schwabing and around the exhibition grounds. For short-notice bookings we tap into our Munich network.

Transfer logistics

From Munich Airport to the hotel, from the hotel to Messe Riem, from your stand to the evening venue. Chauffeured cars, shuttle buses, special trains. We plan routes, waiting times and backup options so your guests arrive on time and relaxed.

Catering and venues

From the off-site venue to the premium restaurant. Through our network of caterers, venues and service staff we find short-term solutions, even when others are long since out of capacity.

Permits and interfaces

Fire safety, security services, permits for use of outdoor areas. We know the authorities and processes and take the paperwork off your desk.

International guest care

BAU is an international leading trade fair. We provide multilingual staff, interpreting equipment, culturally appropriate menus and look after guests from Asia, the Middle East, North America, Africa, Australia and Europe.

Programme and guest guidance

A reception is more than a venue with a buffet. Who meets whom, when? Which speaker slots, which networking moments, what red thread carries the message of your trade fair presence? We design the flow and guest guidance so the evening delivers on your goal, not just looks good.

Frequently asked

BAU Munich 2027:
what to know upfront.

How early should you plan hospitality events for BAU?

+

As a rule of thumb: the earlier the better. Ideally 9 to 12 months before the trade fair. BAU takes place every two years and is one of the mega-events of the city. Premium venues, hotels and caterers are booked a year in advance. Short-notice requests from four weeks lead time onwards we review individually.

What does an event around BAU Munich cost?

+

The range is wide. A reception or Bavarian evening for several hundred guests sits, depending on scope, in the mid five- to six-figure range. A client dinner at a top venue for a select group lands in the five-figure range. A staged VIP evening can reach six figures. We plan from 100 guests upwards, calculate transparently and give a serious orientation in the initial call.

Do you also handle the full event logistics around the fair (hotels, transport)?

+

Yes. This is one of our core offerings for exhibitors. We think of hotel bookings, transfer logistics, catering and programme as one package. You have a single point of contact for everything, from your guests arriving at the airport to their departure.

Can you also look after international guests?

+

Yes. BAU is an international leading trade fair, most exhibitors bring international guests. We organise interpreting, multilingual staff, culturally appropriate menus and look after guests from Asia, the Middle East, North America, Africa, Australia and Europe.

How does Plan & Tat handle last-minute changes during the fair week?

+

We are on site in Munich the entire fair week. When there are delays, weather issues, supplier drop-outs or programme changes, we decide in real time and along short lines. That is part of how we work: not handing over the nice concept and disappearing, but staying on site until the last guest.

When does BAU 2029 take place?

+

The next BAU after 2027 is scheduled for January 2029. The exact dates are confirmed by Messe München. We accept requests for 2029 from now on and, on request, reserve venues and hotels early.

Who is behind this

Planned by Johanna Straube.

Behind Plan & Tat Events is me, Johanna Straube. I learned the event industry from the ground up, from 5-star superior hotels to deputy event manager with events for up to 3,000 people. During the fair week I am on site in Munich myself with an experienced team.
